Rules and Regulations

  1. 1
    Exhibitors, a term that includes applicants and any partner on the platform, must comply with the terms, rules, and regulations set forth in this agreement. Any changes to this agreement must be in writing and signed by the authorized representative of Shamah Autism Company after signing it, which has the right to make amendments and additions to the rights reserved for exhibitors under this agreement, without increasing obligations on sponsors, agents, or employees.

    No contracted exhibitor is allowed to participate in the exhibition unless all fees and subscriptions specified in the form are fully paid. The due payment must be settled within three (3) business days from the date of signing this agreement.

    Exhibitors are not permitted to assign, lease, or license any part of the space allocated to them, nor are they allowed to display advertisements for companies that are not genuine exhibitors at any booth. Only the products, services, and companies listed in the contract may be displayed at the booth.
  4. 4
    In the event that the contracted exhibitor faces bankruptcy or initiates liquidation of the company (if it is a limited liability company), this shall be considered a valid reason for termination and cancellation of the contract, with the other party retaining all payments made in advance.

    Each exhibitor must occupy the allocated space according to the hall access schedule on the day before the exhibition opens. In case of non-compliance, for any reason, the exhibitor must pay an additional amount as compensation equal to the total space fees to the organizers, and the organizers have the right to deal with the space as they see fit.

    The organizing company has full authority to distribute locations and spaces, change or switch those spaces, and alter the general site layout in accordance with the organizing company’s vision to ensure the success of the exhibition, without any right of objection from the exhibitor regarding these changes.
  7. 7
    Exhibitors are responsible for restoring the used or reserved spaces and booths to their original condition and removing any changes or damages caused by the exhibitor.
  8. 8
    The organizers shall not be responsible for the safety of any exhibit or property of any exhibitor, or for its loss, damage, or destruction due to theft, fire, or any other cause, or for any loss or damage suffered by any exhibitor due to defects in the building caused by fire, storm, lightning, national emergency, war, civil unrest, explosion, force majeure, or any other cause beyond the control of the organizers. As the organizers will not bear responsibility for any of the above, applicants must secure themselves to the extent possible.

    Applicants are not permitted to conduct raffles, donations, or other promotional activities that require gathering members and guests at a specific place and time without prior approval from the exhibition committee for all unusual promotional plans.
  10. 10
    Under no circumstances may an exhibitor claim any compensation against the organizers for any loss or damage resulting from the prevention, postponement, or abandonment of the exhibition or any of the events referred to, or because the designated building for the exhibition becomes wholly or partially unavailable for holding the exhibition for reasons beyond the control of the organizers. The organizers have the right to retain all or part of the amounts paid by the exhibitor if deemed necessary by the organizers. The exhibition may be held by rearranging or postponing the exhibition period, assigning another hall or building, or any other reasonable method.

    Booths must be organized and tidy, and no exhibits may be removed during the exhibition period. All exhibits and booth setup materials must be removed from the exhibition building within the period specified by the organizers and with their written permission. Applicants must compensate the organizers for any loss due to delay or damage to the exhibition building.

    The signing and receipt of the contract by the organizers is conclusive evidence of the exhibitor’s agreement to pay the full fees due from that moment. The contract cannot be canceled by the applicant. The exhibitor acknowledges that the organizers, having incurred expenses as a result of the contract, are not required to refund any of the agreed fees in the exhibition application form and contract, and the organizers are entitled to any unpaid amounts owed by the exhibitor.
  13. 13
    Breach of contract and exhibitor withdrawal without prejudice to the organizer’s rights and remedies regarding any breach of contract by the exhibitor, at their discretion, the organizer may allow the exhibitor to withdraw from the exhibition under the following conditions:

    The exhibitor must provide written notice to the organizer of their intent to withdraw. If the organizer permits this withdrawal, they will notify the exhibitor of their decision in writing.
    ب
    Any notice from the organizer to the exhibitor will constitute cancellation of the contract, provided that the exhibitor pays the organizer an amount as consideration for release from the contract.
    ج
    The amount paid will be specified in the organizer’s notice to the exhibitor and will be a percentage of the space rental due based on the date the organizer receives the exhibitor’s notice, as detailed below:
    Date of organizer’s receipt of withdrawal notice - Percentage of space rental due: More than one month before the exhibition: 50%; Less than one month before the exhibition: 100%

    Upon payment of this amount to the organizer by the exhibitor (with the organizer crediting all rent already paid by the exhibitor), the contract will be canceled, and neither party will have any future claims against the other.

    The organizer will arrange a visa letter for Saudi Arabia (if required) for the confirmed exhibitor based solely on the approval of Saudi authorities. If the visa is not granted and the exhibitor wishes to withdraw later, the same cancellation fees mentioned above will apply. In some countries, travel warnings are issued by the government regarding certain Middle Eastern countries. If such a warning is issued for Saudi Arabia and the exhibitor wishes to withdraw later, the same cancellation fees mentioned above will apply.
  14. 14
    The exhibition guide publisher, the exhibition committee, and Shamah Autism Company shall not be responsible for any errors or omissions in the version approved by the advertiser or exhibitor.
  15. 15
    In case any specific participant fails to comply with these rules or regulations or breaches any of their obligations towards Shamah Autism Company, the applicant shall be responsible for all losses, financial liabilities, and costs incurred by Shamah Autism Company in the contract due to the breach or violation.
  16. 16
    Shamah Autism Company, its agents, or employees shall not be liable for any loss, damage, or delay resulting from wars, civil conflicts, military strikes, or any other circumstances that make it impossible for the exhibition committee to hold the conference/exhibition at the specified time and place. The exhibition committee reserves the right to reschedule the exhibition and hold it at a later date or alternative location.
  17. 18
    Special attention must be paid to relevant security standards that must be strictly adhered to for any exhibits involving lasers, radioactive materials, or those that may produce toxic fumes or use or display any materials that may pose a risk to the health or safety of any person. Such materials may not be brought into the exhibition without prior written approval from the organizers and the exhibition, and the responsible person agrees to indemnify the organizers for any claims or actions resulting from the use or display of such materials.
  18. 19
    Payment instructions: The exhibitor (contractor) with the organizing company must pay 100% of the subscription and fees before accessing the site or starting, under penalty of being denied entry to the exhibition. The organizing company reserves its right to retain all previous payments made by the exhibitor as compensation for any losses that may arise due to a breach of the contract terms and conditions.
